Academic Integrity Records

Student disciplinary records are confidential and protected by the Family Educational Rights and Privacy Act (FERPA). Access to these records is limited to individuals with a legitimate educational interest. At UC San Diego, this generally includes the Academic Integrity Office, the student’s Dean of Student Affairs for undergraduate students, and the Assistant Dean of Student Affairs for graduate students.

Records Retention

In accordance with University of California (UC) policy, UC San Diego retains records of academic integrity violations for five (5) years after the end of the academic year in which the case was closed. A case is considered closed when the outcome is decided and the student has no further appeals that could alter the outcome.

Records involving a dismissal from the University are retained for 50 years.

Student Requests for Records

Students and former students may request copies of their resolved academic integrity records by completing the Disciplinary Records Request Form.    

Current students should submit requests using their UC San Diego email address. Former students who no longer have access to their UC San Diego email account will be required to provide a copy of a valid photo ID to verify their identity.     

The Academic Integrity Office provides requested records directly to the student only and does not send records to third parties. For requests requiring records or verification of disciplinary history to be sent to another institution, agency, or organization, see sections below.

Third-Party Records Requests (Applications, Study Abroad, etc.)

Requests to verify or provide a student’s disciplinary history to a third party are generally handled by the student’s Dean of Student Affairs (undergraduate students) or the Division of Graduate Education and Postdoctoral Affairs (GEPA) (graduate students). The Academic Integrity Office does not complete or submit these requests directly to outside organizations.

These requests may be required for purposes such as:  

  • Dean’s Certifications or Letters of Disciplinary Standing 
  • Graduate or professional school applications 
  • Common App, Scoir, or other college transfer reports 
  • Study Abroad or Education Abroad programs  

Requirements and submission procedures vary by college and type of request. Students should follow the instructions provided by their college or graduate student affairs office and submit any forms or authorization documents required for the release of information.

Students should allow sufficient processing time and review the instructions for the applicable office before submitting a request.

Other Third-Party Records Requests (Government Agency/Background Check, Other)

Depending on the nature of the request and the information being requested, the requesting party may be directed to submit a Public Records Request through UC San Diego.

Students and third parties should contact the appropriate Dean of Student Affairs or GEPA office to determine the correct process.
